Materials Shorebase Coordinator

The Materials Shorebase Coordinator is responsible for coordinating materials, customs-clearance, freight-forwarding and logistics activities through the shorebase. The position oversees the receipt, inspection, storage, tracking, staging and dispatch of materials and equipment to offshore installations, vessels, clients and other operational locations.


The role ensures that shipments and material movements are completed safely, accurately, cost-effectively and in compliance with customs regulations, import/export laws, dangerous-goods requirements and company and client procedures. The Materials Shorebase Coordinator works closely with clients, customs officials, freight forwarders, carriers, vendors, warehouse teams, marine operations, procurement, finance and offshore personnel to maintain efficient and uninterrupted operations.

Responsibilities

  • Materials Coordination
    Coordinate the receipt, inspection, storage, staging, movement and dispatch of materials and equipment.
  • Verify incoming and outgoing materials against purchase orders, delivery notes, packing lists, manifests and other supporting documentation.
  • Ensure materials are properly labelled, packaged, preserved and stored according to company, client and regulatory requirements.
  • Prepare and maintain accurate material manifests, loadout lists, delivery notes, cargo documents and inventory records.
  • Coordinate the preparation and movement of materials for offshore installations, vessels and operational sites.
  • Monitor material requirements and follow up on outstanding, delayed or urgent items.
  • Identify and promptly report damaged, missing, excess or incorrectly supplied materials.
  • Coordinate the return, repair, replacement, quarantine or disposal of materials when required.
  • Maintain accurate records of client-owned, company-owned and rental equipment.
  • Ensure materials are assigned to the correct project, vessel, cost centre, purchase order or work order.
  • Shorebase and Marine Logistics Operations
    Coordinate and oversee daily shorebase activities, including vessel loadouts, backloads, deliveries, collections and equipment movements.
  • Liaise with marine coordinators, vessel crews, warehouse personnel, crane and forklift operators, transport providers and offshore teams.
  • Develop and communicate daily material-movement and vessel-loadout plans.
  • Ensure materials and equipment are properly prepared and available within the required operational timelines.
  • Coordinate transportation between vendors, warehouses, ports, shorebase facilities and operational sites.
  • Confirm that containers, baskets, tanks, lifting equipment and other cargo-carrying units are properly certified and suitable for use.
  • Support the safe loading and unloading of trucks, vessels and cargo containers.
  • Monitor shorebase activities and provide regular updates on material status, delays and operational priorities.
  • Participate in operational planning meetings, toolbox talks and shift handovers.
  • Provide support during urgent, after-hours or emergency offshore logistics activities when required.

Must Have

  • Associate degree, diploma or technical qualification in Logistics, Supply Chain Management, Materials Management, Customs Administration, Business Administration, Operations Management or a related discipline.
  • A bachelor’s degree in a related field would be an asset.
  • Minimum of three years’ experience in materials, warehousing, customs, freight forwarding, logistics or shorebase operations.
  • Previous experience in the oil and gas, marine, energy or industrial sector is strongly preferred.
  • Experience coordinating offshore material movements, vessel loadouts, backloads, customs clearance and international freight would be an asset.
  • Working knowledge of inventory and materials-management systems such as SAP, Kabal, Oracle, Maximo or similar software.
  • Proficiency in Microsoft Office, particularly Excel, Outlook and Word.
  • Knowledge of customs documentation, import/export procedures, inventory control, materials handling and warehousing practices.
  • Familiarity with dangerous goods, lifting operations, offshore cargo and marine logistics requirements would be an asset.
  • A valid driver’s licence may be required.
