Personnel Admin Functional Support Specialist

Georgetown, Guiana


                            We are looking for a Personal Admin. Functional Support Specialist to work onshore at our client's Georgetown shore base.


                            THE DEPARTMENT

                            The International Mobility and Contract Teams, as part of the Group Human resources division, are responsible to ensure that the right talent can be hired and mobilized at the right time. Departments are accountable for the relocation of employees for international assignments, local 

                            employees as well as the employment contracts and HR documentation, logistics, activities, and events that occur before, during, and after the assignments/ employments.


                            ROLE PURPOSE:

                            • The Personal Admin. Functional Support Specialist is responsible for assisting employees, management, the local Human Resources team and external stakeholders by providing administrative and immigration support for all international mobility related matters.

                            • The incumbent will be responsible for handling movements of employees mobilizing to Guyana, including transfers to and from global projects.

                            • Responsible for administration services to employees prior to their assignment and while they are assigned on site.

                            • With expertise in expatriation, visa and immigration, the PAFSS will provide hands-on and accurate assistance within the client's dynamic environment.


                            CORE FUNCTIONS:

                            • Advising the Human Resources Business Partner (HRBP), project and other stakeholders on immigration procedures and timeframe feasibility

                            • Serving as the focal point of contact for assignees & new hires related to settling in, including initiating briefing calls with assignees & new hires on the hiring process.

                            • Analyze visa requirements and, in conjunction with relevant personnel manage the processes for the collection of associated documents.  Responsible for collection of documents, completing the application to the immigration authorities (IND) and follow-up for an entry visa, work, resident permit and posted workers notification, etc.

                            • Responsible for Immigration population monitoring, reporting, and analysis - Maintain Immigration tracker for inbound assignees and new hires. Handle visa renewals and extensions requests. Coordinating with travel department for inbound travel arrangement.

                            • Coordination of logistics activities, including documentation and shipping processes, airport transfers, orientation tours, business trips. Assignment of temporary and permanent accommodations upon arrival and during varying mobilization stages, based 

                            • on the specific needs.

                            • Support international assignees with school enrollments, bank account assistance and other local support for the assignees or families. Provide information and guidance relevant to these processes and channel queries to relevant stakeholders.

                            • Serve as the liaison with external vendors (Relocation company, Accommodation Service providers, & Tax provider) and managing the purchase orders and invoicing processes relative to services of these suppliers.

                            • Manage and keep relevant authorities informed on expiry and renewal of work permits/Visa etc. or any other changes.

                            • Ensure that all Exit formalities - Immigration/Car/Accommodation/Tax Provider are organized in a timely and efficient manner following all procedures and policies

                            • Responsible for Document management, including drafting, generating, completion of, and storage of all HR Documents through the Group HR Document generation and storage feature (Employment Contract, transfer, promotion, termination…) for assignees and local employees. Updating necessary HRIS Systems and performing proper record keeping activities.

                            • Supporting the hiring / termination processes and aligning with local and external payroll agencies, when required.

                            • Ensure that all internal and external stakeholders are updated and aligned (HRBPs, HR officer, Manager etc…)

                            • Provide input to Group Mobility on policies and processes Improvements


                            QUALIFICATIONS / SKILLS / EXPERIENCE

                            • Bachelor’s degree in Tax / Law / Human Resources / Business Administration, or equivalent.
                            • Minimum of three (3) years working experience in mobility, labour law and relocation.
                            • Working knowledge / experience in processing work visa and dealing with Immigration 
                            related matters.
                            • Experience in International Mobility and/or Business Immigration in a corporate 
                            environment, or with a large multinational organization would be an asset. 
                            • Strong team player, working local and globally,
                            • Strong organizational and time management skills
                            • Ability to respond effectively to the most sensitive issues and to maintain confidentiality.
                            • Excellent communication skills & cultural awareness
                            • Critical thinking and problem-solving abilities
                            • Must be Customer focused
                            • Very good command of word processing, spreadsheets, and databases (Microsoft Suite)
                            • Proficient in English

                            WORKING CONDITIONS

                             Monday to Friday, office hours
