Temporary Payroll & Invoicing Administrator

We are seeking a detail-oriented professional to support invoicing, payroll, and administrative operations. 

This role involves preparing and dispatching invoices, ensuring all documentation is accurate and ready for billing, assisting with payroll processing, and maintaining data within internal systems.

The ideal candidate will collaborate across teams, resolve queries efficiently, and help improve processes to support smooth day-to-day operations.

Responsibilities

  • Prepare and process client invoices accurately and within required timelines.
  • Assist with clearing existing invoicing backlog.
  • Ensure work orders get to the “Okay to Invoice” bucket by following up on and verifying supporting documentation including timesheets, purchase orders, supplier invoices, summary sheets, and approvals.
  • Ensure invoices align with contractual rates and billing requirements.
  • Dispatch invoices in a timely manner on customer submission platform and updating status on Database accordingly.
  • Address and resolve invoice queries in a timely manner. Update the system accordingly.
  • Assist with payroll processing and payment for assigned clients.
  • Address and rectify any payroll queries in a timely manner.
  • Maintain accurate data entry within ERP/Odoo systems.
  • Support document control and filing processes.
  • Assist with KPI tracking and reporting.
  • Identify process inefficiencies and recommend improvements.
  • Collaborate with Finance, Operations, HR, and Project Teams to ensure smooth workflow.

Must Have

  • Associate’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
  • 1–3 years’ experience in invoicing, billing, payroll, or administrative support roles.
  • General understanding of financial processes, including invoicing and payroll.
  • Strong attention to detail and accuracy in data entry and documentation review.
