Administrative Assistant/Account Clerk

We are currently seeking an Administrative Assistant/Accounts Clerk to support operations by managing financial records, preparing invoices and receipts, maintaining databases, tracking inventory and assets, and ensuring compliance with company policies. 

The role also includes general office administration, document management, and logistical support to assist management and internal teams.

Responsibilities

  • Maintain financial ledgers, records, and supporting documents using QuickBooks and Excel.
  • Update and maintain the Payment Log and other financial trackers.
  • Accurately code and enter supplier invoices, payments, and customer receipts into QuickBooks.
  • Prepare Sales Invoices, Proforma Invoices, Quotations, delivery notes and official Receipts for customers.
  • Maintain monthly inventory costing in both Excel and QuickBooks.
  • Update and maintain the Customer and Vendor Database in QuickBooks.
  • Maintain and update the Fixed Asset Register.
  • Ensure compliance with internal accounting procedures, company policies, and regulatory requirements.
  • Manage organized electronic and physical filing systems for customer records, stock inventory, purchase orders, permits, delivery documents, compliance files and all
    company documents/records/forms.
  • Prepare professional correspondence, internal memos, reports, and documentation for management and sales teams.
  • Assist with updating and maintaining SharePoint, customer databases, and internal trackers.
  • Manage office supplies and ensure timely replenishment.
  • Perform general administrative duties including data entry, document scanning, and filing.
  • Support logistics processes including preparation of courier documents, delivery confirmations, and coordination with drivers and suppliers.
  • Assist with preparation for internal/external meetings, training sessions, seminars, and customer visits.
  • Answer incoming calls, greet visitors, and manage front-office interactions in a
    professional manner.

Must Have

  • Five (5) CXC/GCE O’Level passes including Mathematics, English, and Principles of Accounts.
  • Bachelor’s Degree in Accounting/ Finance, ACCA Level II, or an equivalent qualification (preferred).
  • Minimum of two (2) years’ experience in accounting and administrative support roles.
  • Proficiency with QuickBooks (preferred).
